What expense software works with WEX fuel cards?
DATABASICS Expense imports WEX fuel card transactions, matches receipts to each charge, codes the charge to the right job, routes the expense report for approval, and posts approved expenses to your ERP, including Sage Intacct. Teams in field services, construction, and transportation use it to stop chasing fuel receipts.
How do WEX transactions get into DATABASICS?
It depends on your WEX program. DATABASICS connects through secure file transfer (for example, Fleet One and WEX Mobility programs), WEX web services (for example, EFS), or a Mastercard network data feed. Card transactions are processed daily; exact timing depends on your program and is confirmed during onboarding.
How are fuel receipts matched to WEX charges?
Employees take a photo of the receipt or email it in. DATABASICS matches the receipt to the WEX transaction by amount, date, and merchant, including receipts submitted after the charge posts.
Can WEX charges be coded to a job or work order?
Yes. When a driver enters a job or work order number at the pump, that number passes through the WEX feed and DATABASICS applies the project, job, and GL coding. Depending on the WEX program, fleet details such as vehicle, driver, odometer, and fuel type can also come across.
Do coded WEX charges post to our ERP?
Yes. Once WEX transactions are matched and coded, DATABASICS generates expense reports that post to your connected ERP through its standard expense export. Customers post WEX transactions to Sage Intacct today.
Does DATABASICS work with other company cards too?
Yes. DATABASICS has card feeds for American Express, Visa, and Mastercard programs, as well as the DATABASICS Visa® Commercial Card. DATABASICS is a PCI DSS Level 1 service provider.
